How to Send Event Invitations

Follow these steps to invite leads to your events using QR code invitations:

Prerequisites

  • Have an event already created (single-day or multi-day events supported)
  • Access to Events check-in from the main menu

Step 1: Create an Event Invitation Template

  1. Navigate to Templates in your dashboard
  2. Click Create New Template
  3. Select your messaging channel (WhatsApp or Telegram)
  4. Enable "Is the image a QR code" option
  5. Complete and save your template

Step 2: Set Up Automation with Event Pass

  1. Go to Automation section
  2. Create a new automation (if you don't have one already)
  3. Create a new automation message using the template from Step 1
  4. When prompted, select "Is this a template for event pass" and click Yes
  5. Select the specific event you want to create invitations for
  6. The system will automatically encode the event invitation code into the QR code data

Step 3: Schedule and Send Invitations

  1. Configure when you want the invitation to be sent
  2. Add leads to your automation
  3. Send invitations according to your schedule

Step 4: Event Check-in Process

Once invitations are sent, the check-in process is streamlined and efficient:

For Attendees

  • Simply show the QR code received in their invitation at the event entrance
  • No need for physical tickets or lengthy registration processes

For Event Administrators

  • Use the ABC Sales mobile app to scan attendee QR codes
  • Alternative option: Scan QR codes using a computer with webcamera
  • Check-in process is fast and smooth - just scan and go
  • Option to manually check in leads or attendees if needed
  • Real-time updates to the event dashboard

Automatic Features

  • Tagging: All checked-in attendees are automatically tagged with attendee_[event_name]
  • Real-time Tracking: Monitor live check-ins and attendance rates through the dashboard

Attendee Management

  • Registrants List: View all attendees with their details
